Weather

  • Weather Communication
    • Option: can use SwimTopia Alerts for quick communication (i.e. meet still on, meet delay, etc)
      • If parent has SwimTopia app and logged in, they receive a push notification
      • If not, they receive an email
    • How to send:
      • Manage Team --> Communications --> Compose --> Alert
        • Select appropriate group, like Parents (goes to all parents)
    • To send only to parents for a specific meet:
      • Manage Team --> Reports --> Meet Participants --> select appropriate meet --> Generate Report --> Compose à Alert

  • Weather Info / Rules
    • Safety first
      • Local pool mgmt/host team may delay or cancel based on conditions; follow instructions
        • Continuing meet under inclement conditions needs agreement from both teams
    • Coaches mutually decide next steps
      • Resume later
        • Same night or different date (recommend Thurs for makeup day)
      • Declare it final
      • Or complete separately (“virtual”) and merge results
    • What counts as a “complete” meet
      • Meet can be considered complete after the last heat of backstroke
        • If stopped during butterfly or relays, score only through backstroke
    • If coaches move relays to the end (on-deck decision)
      • Teams may agree to swim relays last to focus on completing individual events
      • Leave Meet Maestro setup as-is
      • Use the Time Drops tablet to control which event/heat is run next in the pool
        • Make sure the correct event/heat is displayed on tablet when starting each race so results feed into the correct events in Meet Maestro
      • Parent note: If event order changes, estimated start times in the SwimTopia app may not update accurately, make announcement so parents do not overly rely on approx start times
    • Separate completion option
      • Teams can swim remaining events and combine results later if both agree
      • Events must remain the same for both teams for results to align correctly
    • If the meet is resumed later with teams together
      • Resume from point meet was stopped
      • Do not reseed
      • Keep original heats and lane assignments
      • Add swimmers only if there are open lanes or openings due to scratches
